POSITION SUMMARY:

The Human Resources Support Assistant provides clerical and administrative support to the Human Resources department while serving as primary backup to the receptionist during absences and peak periods. This role supports daily HR operations through accurate recordkeeping, professional front-desk coverage, coordination of office hospitality logistics, and general administrative assistance. The position requires strong organizational skills, attention to detail, and the ability to handle confidential information appropriately.

ESSENTIAL JOB FUNCTIONS

  • Provide professional front-desk coverage during receptionist absences and high-volume periods; does not hold primary responsibility for reception operations.
  • Greet visitors, answers and routes incoming calls, and manages visitor sign-in procedures.
  • Maintain a clean, organized, and welcoming reception area.
  • Distribute incoming mail and processes outgoing HR mail and correspondence.
  • Coordinate scheduling of company provided lunches and related hospitality activities.
  • Communicate with vendors and caterers to place orders and confirm delivery details.
  • Track headcounts, dietary needs, and approved budget parameters.
  • Assist with setup and cleanup of lunch events and related activities.
  • Support event planning with logistical tasks for larger company events as assigned.
  • Provide first-level assistance by directing employee inquiries to appropriate HR contacts.
  • Perform general clerical support including filing, data entry, document preparation, and record maintenance.
  • Prepare new hire materials including badges, files, nameplates, and related onboarding items.
  • Assist with preparation and logistical setup for New Employee Orientation (NEO) sessions.
  • Order and maintain office supplies for the HR department.
  • Support HR activities and events such as job fairs, open houses, and community initiatives.
  • Assist with corporate distributions and department communications as assigned.
  • Demonstrate regular attendance and timeliness in reporting to work, meetings, and completing assignments.
  • Ability to work and interact well with others.

OTHER JOB FUNCTIONS

  • Provide cross-functional administrative support to ensure smooth business operations.

JOB QUALIFICATIONS

Education: High School Diploma or GED required. Associate degree is preferred.

Experience: Minimum of 2 years of experience in an administrative, clerical, or office support role, if degreed. Minimum of 2 years of experience in an administrative, clerical, or office support role, if non-degreed. Experience supporting HR functions in a unionized manufacturing environment is preferred.

Required Skills:

  • Intermediate PC skills (Microsoft Excel, Work, Outlook).
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong customer service orientation and professional demeanor.
  • Effective verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.

Preferred Skills:

  • Experience working in a manufacturing or HR environment.
  • Familiarity with Human Resource Information System (HRIS) or payroll systems.
  • Experience using issue/task management or project tracking software.

SPECIAL DEMANDS

  • Must maintain a valid driverâ??s license.
  • Ability to maneuver manufacturing environments and navigate stairs as needed.
  • Occasional time spent working a flexible schedule.
